1. Introduction

1.1   We are committed to safeguarding the privacy of our website visitors and service users; in this policy we explain how we will handle your personal data.

1.2   We will ask you to consent to our use of cookies in accordance with the terms of this policy when you first visit our website.

2. How we use your personal data

2.1   We may process data about your use of our website and services ("usage data"). The usage data may include your IP address, geographical location, browser type and version, operating system, referral source, length of visit, page views and website navigation paths, as well as information about the timing, frequency and pattern of your service use. The source of the usage data is our analytics tracking system. This usage data may be processed for the purposes of analyzing the use of the website and services. The legal basis for this processing is our legitimate interests, namely monitoring and improving our website and services.

2.2   We may process your registration data ("account data"). The account data may include your name, address and contact details (phone and email address). The source of the account data is you when registering to our website. The account data may be processed for the purposes:

2.3   We do not record or process any financial data of you.  Payment of the fee of participation is done using Paypal service.  We are not responsible for the privacy policies that govern third party websites such as Paypal, even where we have provided links to them.  We recommend you read the privacy policy of Paypal before sharing any personal data with them.

3. Providing your personal data to others

3.1   We may disclose your personal data and competition results to the international photographic associations accorded official recognition, patronage or accreditation to our salon. This is necessary so that the international photographic associations are able to award international photographic titles to you when you apply for them. Your personal data may be transferred to countries outside the European Economic Area (EEA) for the purposes of this article.

3.2   Your data may also be available to our website provider to enable us and them to provide us with reports and lists for the operation of our competition and carry out of the judging process of your images sent.  The data that may be available to them, including any of the data we collect as described in section 2 of this policy. Our website provider will not transfer your data to any other third party, or transfer your data outside of the EEA.  They will store your data for a maximum of 2 years.

This processing does not affect your rights under section 6 of this privacy policy.

3.3   In addition to the specific disclosures of personal data set out in this Section 3, we may also disclose your personal data where such disclosure is necessary for compliance with a legal obligation to which we are subject, or in order to protect your vital interests or the vital interests of another natural person. The legal basis for this processing is our legitimate interests, namely the proper administration of our website and Cyprus Photographic Society.

4. Retaining and deleting personal data

4.1   Personal data that we process for any purpose or purposes defined, shall not be kept for longer than is necessary for that purpose or those purposes.

4.2   We will retain and delete your personal data as follows:

(a)    Your personal data used for participating to the photographic competition will be retained until you ask for the deletion of the data from our systems and records.  This can be done by sending us an email at the contact email shown in section 10.3 of this policy, asking us to delete your data as per section 6.1.(c) below.

 (b) Your personal data shown on paper and/or digital photographic catalogues published cannot be deleted in any way.

4.3   Notwithstanding the provisions of this Section 4, we may retain your personal data where such retention is necessary for compliance with a legal obligation to which we are subject, or in order to protect your vital interests or the vital interests of another natural person or another legal entity.

5. Amendments

5.1   We may update this policy from time to time by publishing a new version on our website.

5.2   You should check our web page occasionally to ensure you are happy with any changes to this policy.

5.3   We may notify you of changes to this policy by email.

6. Your rights

6.1   Your principal rights under data protection law that are applicable are:

(a)    the right to access; You can have access to your personal data by logging in to our web site.

(b)   the right to change your personal data; You can change your personal data by logging in to our web site.

(c)    the right to erasure; You can ask for the deletion of your personal data by sending us an email at the contact email as per section 10.3 below.  By asking to delete your personal data before the end date of the competition will result into your exclusion from the competition and your images will not be judged.  No paid fee refund will be allowed. 

 (d) the right to withdraw consent; You may withdraw your consent given when registering to the competition by sending us an email at the contact email as in section 10.3 below.  Withdrawing your consent will result into your exclusion from the competition and your images will not be judged.  No paid fee refund will be allowed.  Withdrawal will not affect the lawfulness of processing before the withdrawal.

6.2   You have the right to receive your personal data from us in a structured, commonly used and machine-readable format, by asking us to send them to you, using the email shown in section 10.3 below.  We will send you your personal data within 3 working days.

6.3   If you consider that our processing of your personal information infringes data protection laws, you have a legal right to lodge a complaint with a supervisory authority responsible for data protection in Cyprus. You may do so in the EU member state of your habitual residence.

 6.4 You may exercise any of your rights in relation to your personal data by a written notice to us, in addition to the other methods specified in this Section 6.

7. Third party websites

7.1   Our website includes hyperlinks to, and details of third party websites.

7.2   This privacy policy only governs our websites and we are not responsible for the privacy policies that govern third party websites even where we have provided links to them.  If you use any link on our website we recommend you read the privacy policy of that website before sharing any personal data.
